Please read these Terms of Service carefully before using PayrollWageUK at payrollwageuk.co.uk. By accessing or using our service, you agree to be bound by these terms. If you do not agree, please do not use our software.
1The Service
PayrollWageUK provides a cloud-based payroll management platform designed for UK employers, companies, and recruitment agencies. Our service includes:
- Employee payroll processing and payslip generation
- HMRC RTI submissions (Full Payment Submission â FPS, Employer Payment Summary â EPS)
- P60 and other statutory document generation
- Tax code and National Insurance calculations
- CIS contractor management
- HR and employee record management

PayrollWageUK is a software tool only. We are not accountants, tax advisers, or legal advisers. You remain solely responsible for the accuracy of payroll data entered into our system and for compliance with HMRC requirements.
2Eligibility
To use PayrollWageUK, you must:
- Be aged 18 or over
- Be a UK-based employer, business owner, payroll agent, or authorised representative
- Have a valid UK PAYE employer reference number (or be in the process of obtaining one)
- Agree to use the software only for lawful payroll purposes in compliance with UK law
By using our service, you confirm that you meet these eligibility requirements.
3Your Account
When you register for PayrollWageUK, you are responsible for:
- Providing accurate and complete registration information
- Maintaining the confidentiality of your login credentials
- All activities that occur under your account
- Notifying us immediately of any unauthorised access or security breach
We reserve the right to suspend or terminate accounts that we reasonably believe are being used fraudulently, in breach of these terms, or in violation of UK law.
4Acceptable Use
You agree to use PayrollWageUK only for legitimate payroll purposes. You must not:
- Submit false, fraudulent, or misleading payroll data to HMRC
- Use the software to facilitate tax evasion or fraud
- Attempt to reverse-engineer, copy, or redistribute our software
- Share your account credentials with unauthorised third parties
- Use automated tools to scrape or extract data from our platform
- Interfere with or disrupt our servers or infrastructure
Violation of these rules may result in immediate account termination and may be reported to the relevant authorities including HMRC.
5HMRC Submissions
PayrollWageUK transmits payroll data to HMRC via the HMRC API on your behalf. You acknowledge that:
- You are responsible for the accuracy of all data entered before submission
- Once an FPS or EPS is submitted to HMRC, it cannot be recalled â only corrected via an amended submission
- We are an intermediary software provider and are not responsible for HMRC decisions, penalties, or outcomes resulting from submitted data
- You must ensure your PAYE reference numbers, employee NI numbers, and tax codes are correct before submitting
- You authorise PayrollWageUK to submit RTI data to HMRC on your behalf when you initiate a submission
6Subscription & Payment
Access to PayrollWageUK Premium features requires a paid subscription. By subscribing:
- You authorise us to charge your payment method at the applicable subscription rate
- Subscriptions automatically renew unless cancelled before the renewal date
- Fees are non-refundable except as required by UK consumer law
- We reserve the right to change pricing with 30 days' notice
- Free trial periods (where offered) convert to paid subscriptions at the end of the trial unless cancelled
If you cancel your subscription, you will retain access until the end of your current billing period.
7Data & Privacy
Your use of PayrollWageUK is also governed by our Privacy Policy, which forms part of these Terms of Service.
You acknowledge that:
- You are the data controller for employee personal data entered into our system
- PayrollWageUK acts as a data processor on your behalf
- You are responsible for obtaining any necessary consents from employees for payroll data processing
- You must comply with UK GDPR obligations as a data controller
8Intellectual Property
All software, code, design, content, and branding on PayrollWageUK is the intellectual property of PayrollWageUK and its licensors. You are granted a limited, non-exclusive, non-transferable licence to use our software for your payroll purposes only.
You may not copy, modify, distribute, sell, or create derivative works based on our software without our express written permission.
9Limitation of Liability
To the maximum extent permitted by UK law:
- PayrollWageUK provides the software "as is" without warranties of any kind
- We are not liable for any HMRC penalties, fines, or interest arising from incorrect payroll data submitted by you
- We are not liable for indirect, consequential, or special damages arising from use of our service
- Our total liability to you shall not exceed the subscription fees paid in the preceding 12 months
Nothing in these terms limits liability for fraud, death, or personal injury caused by our negligence, or any other liability that cannot be limited by law.
10Termination
Either party may terminate the service relationship:
- You may cancel your subscription at any time through your account settings
- We may suspend or terminate your account immediately if you breach these terms, fail to pay, or we are required to do so by law
Upon termination, you should export any payroll data you need. We will retain your data for the period required by law (typically 6 years) and then securely delete it.
11Governing Law
These Terms of Service are governed by the laws of England and Wales. Any disputes arising from these terms or your use of PayrollWageUK shall be subject to the exclusive jurisdiction of the courts of England and Wales.
We reserve the right to update these Terms of Service at any time. We will notify you of material changes via email or a notice on our website. Continued use of the service after changes constitutes acceptance of the updated terms.
